Step-by-Step Guide to Claiming Your Flu Jab Reimbursement
If you are not eligible for a free NHS flu jab, Wise Owls will reimburse the cost of a private vaccination (up to £16) once it has been booked and a receipt provided via the flu digital form. You can also receive a free blood pressure test during your appointment at Tesco Pharmacy currently November 2025.
Please follow these steps:
1. Determine Your Eligibility for a Free NHS Jab
Before booking a private appointment, first check if you qualify for a free NHS flu jab based on the following criteria:
- You are 65 years of age or over.
- You are pregnant (on or after 1st October 2025).
- You have one of the following long-term health conditions (for ages 18–65):
- Asthma (treated with a preventer inhaler)
- A long-term heart condition
- Kidney or liver disease
- Diabetes
- COPD or other long-term lung condition
- A neurological condition such as Parkinson’s disease or MS (excluding Epilepsy)
- A weakened immune system (due to medication or condition)
- A BMI (body mass index) of 40 or greater
- You are a carer
- You are in a long-stay residential care home or facility
- You are a household contact of a person with a weakened immune system
- You are employed through Direct Payment of Personal Health Budget
- You are a frontline healthcare worker (within a care/nursing home, hospice, or social care setting without an employer-led occupational health scheme)
- You are a person with a learning disability
If you meet any of the above conditions, you should book a free NHS appointment through your GP or a participating pharmacy. If you do not meet any of these conditions, Wise Owls will reimburse you up to £16 cost for a private jab. Tesco’s Pharmacy do it for this cost November 2025.
2. Book Your Appointment face to face or on line:
There are different options Tesco have may pharmacies with a variety of weekend appointments as an option with location finder available. Other pharmacy’s have options too.
- Appointments should be booked outside of working hours and with consideration for potential rest time the following day. The most suitable times are typically Saturday enabling you to rest if needed the following day.
- If you book a flu jab and then unable to work due to not booking it with time to rest this may affect your reimbursement.
- This is not a contractual benefit, and it is subject to the company/director’s discretion.
- You will need to pay the cost initially
- You have a maximum claim of 1 per 12 month period. Ideally at the beginning of the Autumn period which is September – November.
3. Complete the Eligibility and Reimbursement Digital form:
- Complete the digital flu vaccination refund form below
- Read the guidance fully and ensure you have had your flu jab and have the receipt to hand.
- Ensure you are not able to have a free NHS flu jab
- Ensure you have the flu vaccination and not another vaccination
- Ensure you only have 1 within a 12-month period
- Ensure you complete of the form correctly and able to upload the receipt into it as readable copy, sign, date and submit.
4. Receiving payment for your flu jab:
- This will come directly into your bank account used for your salary
- When will I be paid? We will review forms 10th of each month and this will be submitted for payment at the end of each month.
- If you don’t receive the funds within 60 days this could be due to not completing the form correctly/ your role criteria not eligible/ not following guidance given. You can ask via hr@wiseowlschildcare.co.uk
